Privacy Notice for NekoVoid

This Privacy Notice explains what personal data NekoVoid collects or accesses, why it is processed, how long it is kept, who can see it, user controls, and how to contact the controller. The controller and operator of NekoVoid is Chika-AI. The effective date is 2025-10-25.

Data Collected and Accessed

  • Discord identifiers and profile data: Discord user ID; username; discriminator; avatar hash; guild ID; channel ID; role IDs; nicknames; presence status.
  • Messages and content: Message text; command inputs; attachments; files; images; pasted data; direct messages to the bot when enabled.
  • Activity and diagnostics: Command usage logs; timestamps; moderation logs; error and crash reports; web access logs including IP addresses for web dashboard interactions.
  • Configuration and preferences: Per-server settings; per-user preferences; opt-out flags; moderation thresholds.
  • Website cookies and analytics: Cookies; session identifiers; analytics events from the website or dashboards.
  • Payments: No payment processors or payment data are collected at this time.

Critical Warning About User Submitted Personal Data

  • Do not submit personal or sensitive data. NekoVoid has an internal memory bank and Chika-AI as operator of the self-hosted deployment has access to anything submitted to the AI. Do not submit passwords, financial account numbers, government identifiers, health information, authentication codes, private messages meant to remain private, or other sensitive personal data.
  • Memory filtering is imperfect. NekoVoid attempts to detect and filter personal data before adding inputs to its memory bank, but this filtering cannot be guaranteed to catch all personal or sensitive information. Users must assume anything submitted may be retained and accessed.
  • Deletion option if sensitive data is submitted. If you submit sensitive data, you may request deletion as described in Data Deletion and Retention.

Purposes of Processing and Lawful Bases

  • Provide AI features: Process inputs to generate responses and deliver bot functionality. Legal basis: provision of services to users.
  • Moderation and server tools: Operate moderation, logging, and server administration features. Legal basis: legitimate interest and server administration.
  • Support and diagnostics: Respond to support requests and collect logs to maintain reliability. Legal basis: legitimate interest.
  • Legal compliance and safety: Respond to lawful requests and prevent abuse. Legal basis: legal obligation and legitimate interest.

Sharing Recipients and Third Parties

  • Chika-AI operator access: Chika-AI as operator and host has access to all data submitted to the AI.
  • Discord platform: Discord processes data via its API and is an independent controller for platform-level data.
  • Service providers: Infrastructure and tooling used to operate the self-hosted deployment may process data as processors.
  • Server administrators: Server owners and designated moderators may see per-server logs and configuration according to server settings.
  • Legal requests and safety: Data may be disclosed to law enforcement or third parties to comply with legal process or to prevent harm.
  • No sale of personal data: Personal data is not sold for advertising or other purposes.

Misuse Policy and Access Revocation

  • Prohibited misuse: Attempts to use NekoVoid to access, create, or obtain illegal content; attempts to coerce the AI into producing content that facilitates illegal activity; systematic probing to bypass safety filters; or any conduct that violates applicable law or this policy.
  • Detection and response: Misuse may be detected by automated monitoring, user reports, or operator review of logs and interactions.
  • Consequences: When misuse is detected, Chika-AI may suspend or revoke the offending user’s or server’s access to NekoVoid, purge related memory entries or logs where appropriate, and preserve and disclose relevant records to law enforcement if required. Access revocation is immediate when necessary to prevent harm.

Memory Handling and Filtering

  • Memory purpose: The memory bank stores selected user inputs, system summaries, and context used to improve conversational continuity and feature behavior.
  • Automatic filtering: The memory system runs filters to identify and block or redact obvious personal and sensitive data before storing inputs.
  • Limitations of filtering: Filters are not infallible; false negatives can occur and personal data may be retained by mistake. Users must not rely on the filtering mechanism as a guarantee of privacy.
  • User initiated deletion of memory entries: Verified users may request deletion of memory entries related to their inputs by emailing Noelle@chika-ai.dev. Deletion requests will be verified and completed within 30 days when feasible; backups and logs may persist longer according to backup retention policies.

Retention Deletion and User Controls

  • Default retention windows:
    • Account identifiers and settings retained while the account or server integration exists.
    • Command usage logs retained 6 months by default.
    • Message content retained 12 months by default or shorter if configured per server.
    • Crash reports and diagnostics retained 6 months.
  • Backups: Backups may persist for longer periods according to backup schedules.
  • Request deletion: Users or server owners can request deletion of stored data by emailing Noelle@chika-ai.dev. Requests will be verified and processed within 30 days unless legal obligations require longer retention.
  • Per-server controls: Server owners can disable or limit message logging features via the bot’s configuration commands. Removing the bot from a server prevents future data access but does not automatically erase historical data without a deletion request.

User Rights and How to Exercise Them

  • Rights where applicable: Access; correction; deletion; restriction; objection; portability; and withdrawal of consent.
  • How to exercise: Submit a verified request to Noelle@chika-ai.dev. Verification steps will be used to confirm identity and authorized control before fulfilling requests.
  • Response time: Requests will be handled within 30 days from verification where feasible.
  • Complaints: Users may lodge complaints with their local data protection authority if they believe their rights have been violated.

Cookies Trackers and Analytics

  • Website cookies: The website uses cookies and local storage for sessions and preferences.
  • Analytics: The website may use analytics tools to measure usage. Users can opt out of non-essential tracking through website controls when available.

Security Measures

  • Technical safeguards: TLS for web interfaces; encrypted storage for sensitive fields where feasible; hashed credentials if any are stored; role-based access controls for operator systems.
  • Operational safeguards: Principle of least privilege; access logging; regular security reviews; incident response procedures.

Discord Specific Details and Permissions

  • Voice permissions requested: Connect; Speak; Mute members; Use voice activity; Priority speaker; Request to speak; Use soundboard; Use external sounds.
  • Intents and presence: The bot uses member and presence data only as required by features and server permissions. Removing the bot from a server revokes its access to that server’s future data.

International Transfers and Hosting

  • Hosting location: Data is hosted on Chika-AI controlled infrastructure. Data may be stored and processed in the country where the host is located.
  • Consent for transfers: By using NekoVoid and its website, users consent to storage and processing on the self-hosted infrastructure.

Changes to this Notice

  • Updates: This notice may be updated. Material changes will show a new effective date. Continued use after updates constitutes acceptance of the updated notice.
